Pay the booker back before you leave
Someone who books a €2,400 villa in March is lending the group €2,400 interest-free until July, and carrying all the cancellation risk alone. Split fixed costs the day they’re booked and collect in full before departure.
Use shares for unequal rooms
A master suite, two doubles and a bunk room is not one price per head. Give the suite about 1.2 shares per occupant and the bunk room 1.0. Send the group the table, not just the conclusion — people accept uneven splits when they can see the working.
Treat cash withdrawals as loans, not expenses
Log the €200 withdrawal as nothing and log each thing bought with it individually. Recording the withdrawal makes it look like the group spent €200 on nothing, and hides whatever is left in someone’s pocket at the end.
